Cancellation & Rescheduling Policy

To maintain exceptional service and equitable scheduling, the following cancellation and rescheduling policies apply.
1. Cancellation Notice
Clients must provide a minimum of 24 hours' notice to cancel or reschedule an instructional session. This allows Xavier Ellsworth Tutoring Services the opportunity to accommodate other students and maintain scheduling availability for all families.
2. Late Cancellations
Cancellations or rescheduling requests made less than 24 hours before the scheduled session may be subject to a cancellation fee equal to 50% of the scheduled session rate unless otherwise approved by Xavier Ellsworth Tutoring Services.
3. No-Shows
Failure to attend a scheduled session without prior notice will result in the full session fee being charged. No refunds, credits, or make-up sessions will be provided for missed appointments without notice.
4. Emergencies and Exceptional Circumstances
We understand that unforeseen circumstances may occasionally arise. Families are encouraged to contact us as soon as possible if an emergency affects attendance. Exceptions to this policy may be granted at the sole discretion of Xavier Ellsworth Tutoring Services.
5. Rescheduling
Sessions may be rescheduled without penalty when requested at least 24 hours in advance. While we cannot guarantee specific dates or times, every effort will be made to accommodate scheduling preferences based on availability.
6. Repeated Cancellations
Frequent cancellations, rescheduling requests, or missed appointments may impact future scheduling privileges. Xavier Ellsworth Tutoring Services reserves the right to limit booking availability, modify scheduling arrangements, or discontinue reserved time slots when excessive cancellations occur.
