Cancellation Notice

To ensure consistent scheduling and provide equitable access to instructional appointments, clients are required to provide a minimum of 24 hours' notice to cancel or reschedule a tutoring session. Advance notice allows Xavier Ellsworth Tutoring Services to accommodate other students and maintain the highest standard of service for all families.

Late Cancellations

Cancellation or rescheduling requests received less than 24 hours before a scheduled session may incur a cancellation fee equal to 50% of the scheduled session rate. Any exception to this policy is granted solely at the discretion of Xavier Ellsworth Tutoring Services.

No-Shows

Failure to attend a scheduled tutoring session without prior notice will result in the full session fee being charged. No refunds, credits, or make-up sessions will be issued for appointments missed without communication.

Emergencies and Exceptional Circumstances

We recognize that unforeseen emergencies may occasionally arise. Families are encouraged to notify Xavier Ellsworth Tutoring Services as soon as reasonably possible when circumstances prevent attendance. Requests for exceptions will be reviewed on a case-by-case basis and may be granted at the sole discretion of Xavier Ellsworth Tutoring Services.

Rescheduling

Tutoring sessions may be rescheduled without penalty when requested at least 24 hours in advance. Although specific dates and times cannot be guaranteed, every reasonable effort will be made to accommodate preferred scheduling based on instructor availability.

Repeated Cancellations

Consistent attendance is essential to achieving meaningful academic progress. Repeated cancellations, excessive rescheduling requests, or multiple missed appointments may affect future scheduling privileges. Xavier Ellsworth Tutoring Services reserves the right to modify recurring appointment times, limit future bookings, or discontinue reserved scheduling arrangements when excessive cancellations interfere with the continuity of instruction or the availability of services for other families.

Refund Policy

Reservation deposits, completed tutoring sessions, instructional packages, memberships, and prepaid services are generally non-refundable.

Refund requests will be considered only under exceptional circumstances and solely at the discretion of Xavier Ellsworth Tutoring Services.

If Xavier Ellsworth Tutoring Services must cancel a scheduled session, families may choose either:

• A full rescheduled session at no additional cost; or

• A credit toward a future tutoring session.

Billing errors or duplicate payments will be corrected promptly upon verification.
